The Purchasing Agent is responsible for processing and dispatching purchase orders for products, services and equipment in accordance with the terms and conditions of the governing contract and all applicable Purchasing and university policies. The Purchasing Agent is the primary interface between university customers and suppliers for procurement transaction support. The Purchasing Agent supports the Sourcing Officer in supplier negotiations, supplier performance and contract deployment.
As a member of the Purchasing and Payment Services Team, the Purchasing Agent assists in establishing and maintaining strong, collaborative relationships with Vanderbilt’s faculty, staff and students and identifies additional ways to be of service and ensure customer satisfaction. This position supports the success of a high-performing organization by helping to champion and drive the full procure to pay process.
About the Work Unit:
The Purchasing and Payment Services Team (P&PS) is the single point of contact for all centralized procurement and payment activities, setting the overall strategy for Vanderbilt University’s purchases and payments. As part of the Finance organization, Purchasing and Payment Services provides an integrated approach to purchasing goods and services by connecting the procurement function to the entire supply chain processes within Vanderbilt to the final goods and services receipt process, and finally to payment issued to suppliers.
Duties and responsibilities
Coordinates and collaborateswith suppliers to request price quotes and proposals for general useproducts, services and capital equipment contracts. Specific assignedcommodities include: logistics services, vehicles, fuel, printingservices, promotional products, uniforms.
Uses professional judgement todraft and negotiate purchasing terms and conditions taking into accountVanderbilt policies and customer requirements.
Reviews purchase requisitionsand issues purchase orders in accordance with departmental needs anduniversity policy.
Manages day-to-day processesfor resolving invoice, receiving and warranty disputes with suppliers.
Collaborates with SourcingOfficers in the development and execution of commodity strategies andsupplier contracts.
Coordinates with universitycustomers to define and communicate specifications and sourcing options.
Seeks opportunities forcontinuing process improvement in terms of processes and capabilitieswithin this role and of the Finance group overall.
Assists in special projects andadditional duties as assigned.
Profile ofan Ideal Candidate
Two or more years of experiencein purchasing is necessary.
Bachelor’s degree required,with emphasis in Business Administration or Supply Chain preferred.
Certified Purchasing Manager(CPM) or other purchasing professional certification is preferred.
Experience in purchasingtransportation and logistics services and/or industrial products andservices is preferred.
Experience in supporting orleading Request for Proposal (RFP) projects and conducting competitivebidding is preferred.
Experience working withelectronic purchasing systems and eProcurement platforms is preferred.
Experience managing ordersfunded by federal, state or private grants is desired
Substantial relevant experiencein a complex organization, with a strong purchasing and payablesbackground is preferred.
Strong interpersonal skills andthe ability to develop and maintain relationships with key stakeholders ispreferred.
Proven skill in attention todetail and a highly organized work style in collaboration with effectivewritten and verbal communication skills is preferred.
