Program Manager - Epidemiology Graduate Programs (Job Number: 1901209)
This position provides administrative and programmatic leadership for the Epidemiology Graduate Program and for NIH-supported Translational Bridge activities for pre- and post-doctoral career enhancement. The graduate program is housed in the Institute for Medicine and Public Health and the Translational Bridge Program is supported via blended federal and institutional funding, and administrative oversight resides within the educational program structure of the Biomedical Research Education and Training Office. The role manages the day-to-day operations of the Epidemiology Ph.D. degree program. Responsibilities include planning, coordinating and executing various activities to support faculty leadership, and reports directly to the Director of Graduate Studies and Associate Director of Graduate Studies. The person in this role will execute administrative and business procedures and will be a key resource to current, prospective students, and alumni of the program. Translational Nexus hosts seminars, workshops, social media outreach, manuscript and grant preparation training, and other career development activities for pre- and postdoctoral trainees across a range of graduate and postdoctoral programs.
Duties and responsibilities
Manages Day to Day Operations of the Epidemiology Graduate Programs
Manages administrative and business details of the epidemiology graduate program
Coordinates activities with director of graduate studies, associate director, instructors and students.
Coordinates recruitment, admissions and enrollment processes.
Communicates with Registrar’s office regarding class registration processes.
Assures appropriate classroom and teaching facilities for all classes and facilitates communication between teachers and students
Coordinates student examinations including comprehensive exams, qualifying exams, and dissertation defenses.
Ensure academic advising is on track and assists with monthly review of student status with the director and associate director of graduate studies and tracks completion of formal intradepartmental reviews prior to candidacy.
Tracks individual student progress to assure that all requirements are met and compiles documents to support promotion and graduation.
Coordinates employment, wage and salary, benefits and other personnel activities with the BRET office for graduate students.
Independently coordinates all program-related events including recruitment functions, orientation, conferences, thesis presentations, receptions, and graduation activities.
Prepares various internal and external reports on behalf of the program.
Appropriately oversees student body.
Documents faculty have completed required FERPA and other compliance training.
Processes all student administrative paperwork (comprehensive exams, qualifying exams, dissertation defenses, credit transfers, intradepartmental reviews, academic progress reports, etc.) Financial Management of Graduate Programs ·Manages program finances in partnership with program director and BRET Department Administrator.·Monitors annual budget, carefully stewards the graduate program funds, and keeps the leadership up-to-date by providing budget projections and anticipated expenditures and needs.·Prepares student award forms and ensures student financial accounts are in good standing.·Reconciles each term with financial management and student accounts.·Prepares journal entries to assure faculty are compensated for teaching time. Marketing and Communications
Coordinates all communication and public relations efforts for the program.
Tracks information on students, alumni, and faculty and efficient methods of regular communication.
Develops materials for prospective and current students.
Maintains program website and coordinates revision/addition of content.
Actively seeks ways to improve visibility of the programs internally and externally. Manages Day-to-Day Aspects of Translational Bridge Activities ·Coordinates integrated calendar of monthly seminars and ad hoc workshops for Translational Bridge·Assists with conduct of vertically integrated Work-in-Progress sessions which serve predoctoral, postdoctoral and early career faculty in a shared twice-monthly session for feedback on academic products such as manuscripts, grants, abstracts, posters, and presentations.·Schedules venues, speakers, and meals as required for hosted activities.·Coordinates with other BRET program office entities to maximize reach of resources to pre- and post-doctoral trainees.·Prepares targeted social media materials for EdgeforScholars to enhance the total content direct at those currently in doctoral or postdoctoral training for careers in academic biomedical research.
Profile of an Ideal Candidate
A bachelor’s degree from an accredited institution of higher education is necessary.
Three years of related experience is necessary.
A master’s degree from an accredited institution of higher education is preferred.
Software Experience in: Slate, SkyVU, Oracle, Excel, Adobe Creative Suite is necessary.
