About the Position:

This position provides administrative and programmatic leadership for the Biostatistics and Epidemiology Graduate Programs. Both programs are part of the Institute for Medicine and Public Health but reside within the educational program structure of the Biomedical Research Education and Training Office. The role manages the day to day operations of the Biostatistics Ph.D. and M.S. degrees, and the Epidemiology Ph.D. degree. Responsibilities will include planning, coordinating and completing various activities to support faculty leadership, and reports directly to the Director of Graduate Studies for each program. The person in this role will execute administrative and business procedures and will be a crucial resource to current and prospective students.

Duties and Responsibilities:

Manages day to day operations of theBiostatistics and Epidemiology Graduate Programs

· Manages administrative and business details of this evolving graduate program

· Coordinates activities with the director of graduate studies, instructors and students

· Coordinates recruitment, admission, and enrollment process

· Communicates with Registrar’s office regarding class registration processes

· Assures appropriate classroom and teaching facilities, and facilitates communication between teachers and students

· Coordinates student annual examinations and review meetings

· Tracks individual students progress to ensure that all requirements are met and compiles documents to support graduation

· Coordinates employment, wage and salary, benefits and other personnel activities with the BRET office for graduate students

· Independently coordinates all program-related events including recruitment functions, orientation, conferences, thesis presentations, receptions, and graduation activities

· Prepares various internal and external reports on behalf of the program

· Appropriately oversees a student body

· Processes all student administrative paperwork (comprehensive exams, qualifying exams, dissertation defenses, transfer credit)

Financial Management of Graduate Programs

· Manages programs finances in partnership with program director and BRET Department Administrator

· Monitors annual budget and carefully stewards the graduate program funds and keeps the leadership up-to-date by providing budget projects and anticipated expenditures and needs

· Prepares student award forms and ensures student financial accounts are in good standing

· Reconciles each term with financial management and student accounts

· Creates journal entries to assure faculty is compensated for teaching time

Marketing and Communications

· Coordinates all communication and public relations efforts for the program

· Tracks information on students, alumni, and faculty and efficient methods of regular communication

· Develops materials for prospective and current students

· Maintains both program websites

· Actively seeks ways to improve the visibility of the programs internally and externally

Profile of an ideal Candidate

This position requires a Bachelor’s degree and at least four years of related experience. The successful candidate will possess extraordinary attention to detail, the ability to manage multiple projects simultaneously while remaining helpful and courteous, be extremely organized, efficient and detail oriented and be a team player and self-starter. Additionally, the candidate should possess excellent communication and interpersonal skills and be able to think and function independently. Successful candidates will have solid writing and editing skills as well as facility with office software, website design, and marketing. Software Experience in Slate, SkyVU, Oracle, Excel, Adobe Creative Suite

Job requires Bachelors and 3 years of experience or the equivalent.
