This position is responsible for supporting and connect the activities of the Office of the Vice Provost for Research (OVPR), particularly activities involving Sponsored Programs Administration (SPA) and the Center for Technology Transfer and Commercialization (CTTC). SPA provides pre-award support to faculty for their grant and contract proposals to external funding agencies, including proposal preparation, submission and tracking, and non-financial post-award administration and management support, while the CTTC provides professional commercialization services to the Vanderbilt community, thus optimizing the flow of innovation to the marketplace and generating revenue that supports future research activities, while having a positive impact on society. The Coordinator’s duties will focus on multi-domain projects spanning entities within OVPR, including communications (e.g., website management, news, publicity materials and other print media), assisting with preparations for the replacement of the Coeus and PEER digital research administration systems and implementation of a new digital research administration system, and coordinating engagements with external research partners such as the Ancora Innovation partnership with Deerfield Management, the education partnership agreement between Vanderbilt and the Army Futures Command (AFC), and Oak Ridge National Lab. The Coordinator will also provide support to OVPR Special Projects Manager as needed. The successful candidate should be comfortable with working in a dynamic setting and be skilled at communicating with a variety of stakeholders.
The Office of the Vice Provost for Research is led by Vice Provost for Research Padma Raghavan. The role of the office has been expanded from its past definition based on faculty feedback. In addition to overseeing the university’s research portfolio, the Vice Provost for Research also oversees implementation of the university’s new future vision and trans-institutional strategies and works closely with the Provost, academic Deans, Vice Provosts, and the faculty at large to advance the quality of the research and scholarship university-wide. Activities include developing and implementing strategies to enhance extramural support for research and advanced studies from all sources – corporate, foundation, federal, and philanthropic, advancing a cohesive and vibrant international research agenda, and seeking key partnerships around shared priorities research. The Vice Provost works with the Vanderbilt University Research Council in advocating for the research and scholarship missions of all disciplines at Vanderbilt.
Duties and Responsibilities
Under generalsupervision, manage communications spanning OVR entities to maintaintransparency and continuous engagement with internal stakeholders andenhance the visibility and prestige of Vanderbilt research to externalaudiences (50%)
Maintain office website incoordination with teams within OVPR
Create publicity materials forinternal and external use including brochures, pamphlets, and postcards
Devise and implementcommunication plans for initiatives and projects within OVPR, includingthe upcoming replacement of the Coeus/PEER digital researchadministration systems
Support andcoordinate industry engagement with the CTTC to enhance the impact of anddiversify support for Vanderbilt research (25%)
Monitor and promote newsarticles and other publicity concerning industry engagement with research
Support emerging anddeveloping large-scale partnerships with industry, including coordinatingengagement between faculty and industry representatives and preparingmaterials and presentations
Report andanalyze award and proposal data from SPA to track progress on keyinitiatives and identify areas for future development (20%)
Coordinate with SPA leadershipand staff to track major projects and proposals and provide regularupdates to the Special Projects Manager
Analyze proposal and awarddata and prepare reports for a variety of audiences and purposes (e.g.,initiative progress tracking, reporting to leadership, publicity, etc.)
Other dutiesas assigned to cohere and support OVPR efforts, including (5%)
Prepare other ad hoc reportsor presentations on OVPR projects or initiatives
Coordinate communications andmeetings with faculty and staff, particularly committees and workinggroups devoted to OVPR initiatives
Profile of an IdealCandidate
A Bachelor’s degree isnecessary.
A Master's Degree ispreferred.
3 year to 5 years of comparableexperience is preferred.
Experience working in aresearch- or higher education-related field ispreferred.
Strong analytical,organizational, technical writing, and communication skills
Experience working withdatabases and spreadsheets to create customized reports.
Ability to work simultaneouslyon multiple tasks in a fast-paced environment where priorities change inresponse to external needs and opportunities.
Discretion and the ability towork independently in situations requiring judgment and initiative.
Prior experience working withstaff and faculty from across disciplines.
