The Program Coordinator II is part of the Course Support team within the Office of Undergraduate Medical Education, School of Medicine, at Vanderbilt University and is a key contributor responsible for effectively organizing course materials and a range of other administrative and operational support for the first and second years of the MD curriculum, creating positive teaching and learning experiences for faculty and students. Reporting directly to the OUME Administrative Director with dotted-line reporting to the Assistant Dean of Medical Student Assessment and faculty educators, the Program Coordinator II will regularly collaborate with other course support staff, instructional designers, and campus offices. This position reports administratively to the OUME Administrative Director and functionally to approximately 10 faculty.

The mission of the Office of Undergraduate Medical Education is to administer an educational program towards the MD degree that:

§ Provides students with the knowledge, skills, attitudes and habits they will need to practice safe, effective, ethical, evidence-based and patient-centered medicine in the 21st century;

§ Integrates the basic science and scholarly foundations of medicine with clinical sciences;

§ Is informed by, and contributes to, an evolving understanding of learning science.

The Office of Health Sciences Education governs the range of educational activities of the Vanderbilt University School of Medicine, including undergraduate medical education/MD program, graduate medical education, and physician continuing professional development, as well as several advanced degree programs in applied medical fields. Our office serves Vanderbilt University School of Medicine students, house staff, and faculty throughout the continuum of medical education. The office also provides the many services that support these academic programs, including education technology and informatics, simulation programs, educator development programs, financial and administrative oversight, student services, and education research resources.

Duties and responsibilities

Plans and develops the program in order to meet established goals, objectives, and timelines

§ Provide input into the establishment of goals and objectives for course support team.

§ In collaboration with the faculty course directors, leadership, course support colleagues, and instructional design team, creates and supports courses in the School of Medicine’s learning management system (LMS), VSTAR, and ensures smooth course operations for positive faculty and student experience.

§ Recommends and, with leadership input, implements improvements to the course and program LMS structure.

§ Continuously compiles, reviews and analyzes program outcomes against established goals, objectives, and timelines in order to keep team on track towards successful operational procedures.

§ Identifies, researches, and selects the facilities necessary for program activities; schedules facilities as appropriate and is accountable for their set-up towards effective course delivery.

§ Acts as a liaison for the program by answering inquiries, providing information, and addressing concerns in verbal and written communication.

Plans and leads the operational execution of the program

§ In collaboration with the Administrative Director and applicable leadership and faculty, develops the overall logistical plan necessary to successfully execute the program plan.

§ Executes main course development and management in the School of Medicine’s Learning Management System, VSTAR.

§ Serves as chief proctor for applicable first-year National Board of Medical Examiners (NBME) exams and is responsible for ensuring the team has the correct ratio of proctors:students for each of the five first-year exams.

§ Manages and proposes features of VSTAR to enhance user experience and satisfaction.

§ Creates and maintains a program database and appropriate documentation of program activities to ensure compliance with Vanderbilt’s internal policies and procedures and School of Medicine accreditation requirements.

§ Empowered to make on-site decisions to resolve problems brought forth by faculty and student participants, suppliers, and vendors.

Provides budgetary management to the program

§ Assists in creating the budgetary proposal for the program in conjunction with the Administrative Director and faculty leadership.

§ Assists in ensuring that the program is executed on or under budget.

§ Monitors expenditures and, in collaboration with the faculty leadership and Administrative Director, makes decisions on allocation of funds throughout the program.

§ Makes purchases and requisitions items needed; may have signature authority for such purchases and requisitions.

Provides administrative assistance to Course Directors, Faculty Leadership, and Administrative Director

§ Imports course materials into the VSTAR learning management system.

§ Interfaces with the larger OUME course support team, evaluation and assessment teams, and designated faculty and student focus groups for specific projects that enhance the course offerings.

§ Serves as first point-of-contact for special projects related to the MD program, including expanded support for faculty and testing new or developed technology.

§ Other duties as assigned.

Profile of an Ideal Candidate

§ A Bachelor’s degree from an accredited institution of higher education or 4 years of relevant experience is highly preferred.

§ A Master’s degree from an accredited institution of higher education is preferred.

§ Prior experience in education or demonstrated leadership in extracurricular activities is preferred.

§ Established computer skills, such as comfortability with Excel is necessary.

§ Ability to work in a fast-paced and fluid environment and enthusiasm for working in a collaborative space with a diverse and multi-disciplinary team is required.
