Position Summary :

The Program Coordinator provides administrative support to the Assistant Dean for Student Affairs and the Director of Alumni Relations. Duties include, but are not limited to, researching and maintaining a contact database, planning and managing various student and alumni events, coordinating multiple newsletters, and overseeing various assigned events/tasks. This position requires daily interaction with current students and alumni, and faculty and staff across the University. Excellent writing and communication skills are required. Strong organizational skills necessary, including the ability to prioritize, multi-task and manage workload to meet specific timeframes and deadlines with minimal direction.

About the Work Unit :

The Office of Student Affairs is the administrative link between all students enrolled at VUSN and faculty/staff at the school. The department oversees New Student Orientation, Commencement, 3 Pinning ceremonies, Licensure registration, and the Graduate Student Council. The Alumni Office is the formal link between the School of Nursing and its graduates. It strives to keep all alumni connected with VUSN through communications, events, and assistance in searching for job openings. The office works with a volunteer alumni board and interacts with the University’s alumni relations offices to craft effective means to reach its constituents.

Key Functions and Expected Performance:

Office of Student Affairs :

  • Abilityto use the Vanderbilt Student Records System (YES) and Oracle BusinessIntelligence Database.

  • Assistwith the planning and management of three New Student Orientations

  • Handlingdetails of registering students for the RN Licensing Exam;

  • Coordinatingcomposite photography for MSN and DNP students.

  • Completeoversight of the School of Nursing Investiture of the Academic HoodProgram.

  • Completeoffice administrative duties including managing three financial budgetsfor the Office of Student Affairs

  • Administrativeand budgetary support for the VUSN Graduate Student Council.

  • Weeklyonline newsletter for students, faculty and staff.

Office of Alumni Relations:

  • Assistthe Alumni Director in maintaining current and accurate contactinformation for 10,000+ alumni particularly that of graduating students asthey transition into alumni status.

  • Assistwith the planning and execution of the VUSN Alumni Reunion each Octoberand occasional functions of the alumni board.

  • Scansocial media for additional data for the database.

  • Helpwith projects such as quarterly newsletter to alumni, welcome emails tonew graduates and updating records as people make life/career changes.

  • Quarterlyonline newsletter for Alumni.

  • Provideadministrative support for annual reunion.

  • Managingthe financial budget for the Office of Alumni Relations.

Profile of an IdealCandidate

  • Bachelor’s degree from an accreditedinstitution of higher education or equivalentcombination of education and experience is preferred.

  • Proven experience in prioritizing and multi-tasking is necessary.

  • Skill in working with an online budgeting process is necessary.

  • Ability to maintain confidentiality and operate as a member of a team, whilemaintaining independence is necessary.

  • Proven commitment to accuracy and thoroughness is necessary.

  • General working knowledge of the Microsoft Office software suite is necessary.

  • Demonstrated experience in database management is necessary.

  • Ability to search social mediaand the internet for information is necessary.

  • Knowledge of Vanderbilt University policies and procedures is strongly preferred

  • Knowledge ofMailChimp and Oracle is preferred
