Human Resources Manager, Owen Graduate School of Management (Job Number: 1900541)


The Human Resource Manager will serve as a member of the Finance & Administration team at the Owen Graduate School of Management at Vanderbilt University. This position will serve primarily as a Human Capital Management Specialist (HCM), responsible for a wide range of human resource management and personnel administration for Owen’s faculty, staff and student employees. Responsibilities and services of this position include salary and benefits administration, compensation analysis, staffing needs and employment/hiring activities, identification of training and professional development opportunities for staff, and records management and credentialing. Position will work closely with Chief Business Officer on employee relations matters, counseling, resolution, and performance management. Works as a liaison and in consultation with central Human Resources. Demonstrates high level of competency and effective management and resolution of faculty, staff and student employee matters.

The Finance & Administration office is dedicated to supporting our faculty, staff and students with their financial, human resource and administrative activities, including purchasing and payments, contracting, billing and collections, employment and payroll actions, and various administrative needs of the school.

Key Functions andExpected Performance:

  • Serves as an effective HR practitioner to provide awide range of human resources support and consulting services for Owenstaff and faculty covering the following: recruitment and employment,compensation administration, planning and analysis, benefits and leaveadministration, training and education, personnel records management,interpretation and communication of HR policies and procedures. Identifiesand elevates more complex situations that require the involvement of thebusiness officer.

  • Serves as primary HCM specialist for Owen and processesall faculty, staff and student employee transactions in Oracle Cloud.Maintains and updates HR information for faculty andstaff. Processes hires, transfers, reclassifications, and endof employment actions.

  • Enters routine and additional payroll elements andmaintains labor costing for all employees.

  • Serves as the lead in implementing and training for HRpolicies as they are defined. Is the first and primary point of contactfor Owen’s department supervisors, faculty, staff and student employeeswith regard to human resource policies and procedures.

  • Directs employment and onboarding process, incollaboration with supervisor and central HR, to ensure an efficient andsmooth process in accordance with all applicable university policies andprocedures.

  • Serves as the area resource on absence and leavemanagement and reporting, including FMLA for Owen staff and faculty.Understands and processes paid and unpaid leave for employees.

  • Responsible for compliance for bi-weekly timesheetpopulation, including communication and oversight to ensure timesheets aresubmitted and approved by University deadlines.

  • Assists employees with self-service, timekeeping andabsence management transactions as needed

  • Maintains confidential personnel records for faculty,staff and student employees.

  • Manages performance review and compensation reviewprocesses, including coaching, goal setting and communication of processesand outcomes to department management and employees.

  • Develops and manages employee appreciation andrecognition activities to provide an enriching environment for employeesand achieves the school’s programmatic goals.

  • Assists in analysis of financial impact to businessunit budget for new staff or compensation adjustments. Consult with theChief Business Officer to determine appropriate organizational structure.

  • Builds and maintains strong working relationships inthe area, across the University with others who provide HR support, andwith central Human Resources.

  • Participates in recurring meetings, trainings and roundtable discussions to allow opportunities for SkyVU HCM Specialists acrosscampus to learn from each other. Maintains an extensive understanding ofSkyVU HR functions and related connections with financial functionality.

  • Analyzes and assists to streamline business processes.Works with the other members of the OGSM Finance & Administration teamon projects, process improvements, and trainings for staff working atOGSM. Must be deadline oriented, tech savvy and adapt easily to changes intechnology and processes.

  • Other human resource and administrative projects andduties as assigned.


This position does not have direct supervisory responsibility but will oversee student employment related activities performed by Administrative Assistant; this position reports administratively and functionally to the Chief Business Officer.

Education andCertifications

A Bachelor’s degree in human resources, business administration or other related field from an accredited institution of higher education is necessary.

Experience and Skills

  • At least five years of relevant experience is necessary.Additional related experience may substitute for required education.

  • Ability to handle various human resources issues andconcerns effectively while maintaining confidentially is necessary.

  • Experience in human management systems such as Oracle,PeopleSoft or similar isnecessary.

  • Ability to effectively communicate HR relatedinformation, policies, and/or procedures in a manner easily understood bythe customer is necessary.

  • Skilled in the use of computers, preferably in a PC,Windows-based operating environment is necessary.

  • Knowledge of human resources practices, procedures andlaws is strongly preferred.

  • Strong interpersonal and communication skills and theability to work collaboratively with a wide range of constituencies in adiverse community is stronglypreferred.

  • Skill in organizing resources and establishingpriorities is strongly preferred.

  • Strong consulting and management skills to be able toprovide appropriate counsel, advice and work in partnership withmanagement and staff on human resource matters is preferred.
