The HR Representative II will provide support to the Benefits team by performing administrative duties of a complex and confidential nature in support of departmental activities as they pertain to employee benefits, payroll and communications. Key deliverables will include: collaborating and communicating with individuals at all levels within and external to Vanderbilt University; conducting benefit orientation meetings as part of the new faculty and staff onboarding process; taking a key role in the annual open enrollment process, schedule on site meetings, serves as coordinator with the tuition benefit vendor, etc.
Provides administrative support to thebenefits team which includes but is not limited to: scheduling meetings,calendar management for team, sorting and distributing mail, coordination ofscheduling for new faculty and staff onboarding, etc.
Plans, organizes,and manages resources to bring about successful completion of unit projectgoals and objectives.
Event planning -determines content/details of event including identifying and bookingfacilities, developing communication plan with internal and external partners,staffing event, acts as day of contact, etc.
Performs special projects and other duties asassigned.
Collaborates with internal human resourcescommunications coordinator to deliver benefits information, update website, andensure presentations are up to date with correct information.
Drafts and editsbenefits documents, presentation, and graphic displays.
Conducts research and provides supportingdetails for specific situations to benefits team.
Supports andguides projects, including research, coordination with campus partners,providing updates and staffing meetings.
Monitors webinarsand other professional development opportunities for benefits team.
Stays up to dateon legislation that may affect how the university administers benefits tofaculty and staff.
Assists with the evaluation, assessment andtriage of customers' human resource needs in person, over the phone or viaemail.
Helps individuals improve their understandingof the benefit plans and how to access websites, materials and other sources.
Interacts and collaborates with individuals atall levels within the organization to provide detailed benefit plan responses,always paying close attention to the tone and content of any communication.
Presents benefit information at new stafforientation as scheduled and answers individual’s questions regarding benefitoptions and participation.
Servesas coordinator with the tuition benefit vendor.
Resolves escalated tuition benefit issues inconcert with internal and external partners.
Stays up to date on legislation that mayaffect how the university administers tuition benefits to faculty and staff andsuggests edits to policy as needed.
- Required Education: Bachelor’s Degree or theequivalent, and one year of experience.
Managing highly confidential information,records and files.
Proficient in the use of the Microsoft Office– including Outlook, Word, PPT, and Excel
Excellent time management skills with theability to multi-task and deal with a high volume of tasks
Basic understanding of ERISA, IRC, HIPAA, DOL,etc. is a plus.
