Description

The Facility Renewal Coordinator is part of the Facilities, Plant Operations, Building Maintenance Department at Vanderbilt University and is a key individual contributor responsible for coordinating the University’s Facility Renewal Process and will be the primary Asset Coordinator for Facilities Plant Operations. This position will work with key stakeholders to present the facility renewal list.

Plant Operations provides facilities support for all construction, renovation, and routine maintenance of University Central space and facilities; housekeeping services for approximately 5.8 million square feet of academic, administrative, residential, and recreational space; grounds care for 330 acres that are a registered arboretum; turf care for athletic fields; and utilities for the University Central and the Medical Center.

Facilities annual budget exceeds $100 million in operating expenses and includes over 400 employees. Facilities manages major capital project expenditures totaling $125 million annually and facility renewal, replacement and large maintenance project expenditures totaling $20 million annually.

Duties andResponsibilities

  • Serve as Primary AssetCoordinator for Facilities Plant Operations

  • Utilize the work managementsystem (AiM) to maintain lists of all assets, such as roofs, HVAC units,etc.

  • Establish a timeline andprocess for validating assets on a periodic basis

  • Coordinate with FacilitiesCampus Planning & Construction to obtain asset additions, deletionsand updates

  • Coordinate with managers whenassets are replaced

  • Determine the method to have anasset associated with every phase of a work order within AiM.

  • Coordinate the Facility RenewalProcess

  • Maintain list of all facilityrenewal projects for each building on campus

  • Coordinate with otherstakeholders to add, edit, and archive projects

  • Meet with stakeholders topresent renewal lists and prioritize based on budget and need

  • Filter and distribute facilityrenewal list as needed

SupervisoryRelationships

This position does not have supervisory responsibility and reports administratively and functionally to the Preventative Maintenance Manager.

Profile of an IdealCandidate

High school diploma or GED is necessary.

Some college is preferred.

Project management experience is preferred.

Proficient in Microsoft Office products (Excel, Outlook, PowerPoint, Access, and Word) is necessary.

Strong written and verbal communication skills is necessary.

Ability to read and interpret construction documents is necessary.

Understanding of the construction process is strongly preferred.

Basic understanding of Mechanical, Electrical and Plumbing systems and their respective components is strongly preferred.

Construction estimating knowledge is strongly preferred.
