Position Summary :

The Department Education Specialist is part of the Vanderbilt University School of Nursing and is a key individual contributor responsible for coordination of administrative and operational tasks related to all facets of program management, delivery and evaluation for multiple programs and courses in Brightspace (MSN, DNP and PHD). Our DES’s ensure the 170 faculty’s courses are built by CCNE, ACNM and NLN standards. Also DES’s make sure the faculty understand how Brightspace works so they may assist after hours if needed. With over 800 students at the School of Nursing DES’s make sure courses are set up clearly and quality is at the highest possible standard so students are able to complete their work online whether they are onsite or in other countries around the world.

Duties andresponsibilities:

Program Scheduling and Calendaring

  • Maintains program calendars, including scheduling administrative/faculty meetings, classroom sessions, and other educational events

  • Maintains, as needed, schedules for student rotations/activities

Support for Educational Program andSessions

  • Makes arrangements for educational sessions, as needed, for space, catering, audio-visual needs, and session hand-outs/props

  • Communicates with attendees regarding various aspects of the program, such as session information, assignments, program requirements, etc.

  • Builds and manages online course/program information in the learning management system (Bright Space, BlueJeans, Skype and Remote Proctor)

Support for Special Events Planningand Execution

  • Makes arrangements, as needed, for space, catering, audio-visual needs, and session hand-outs/props

  • Manages invitations and RSVPs, and maintains current lists of expected attendees

  • Communicates with attendees before and after sessions

  • Makes purchases as needed, in collaboration with Program Manager and staff with purchasing authority

  • Assists with travel planning and reservations, as needed

Support Recruitment to and Admissionof Students

  • Coordinates prospective student recruitment process with other program staff and faculty

  • Coordinates application process, including use of Slate

  • Responds to routine prospective student correspondence/questions

  • Schedules/manages prospective student campus visits and interviews

Program Evaluation/Student Assessment

  • Collects and reports program evaluations and student assessments

  • Assists in maintaining program outcomes database and documentation of program activities

  • Maintains program documentation and data as required by accreditors (CCNE, ACNM, and NLN)

  • Supports program directors in completing reports to accreditation organizations

ProgramCommunications

  • Triages program-shared inboxes, answers inquiries and addresses concerns

  • Maintains websites and social media pages by contacting appropriate personnel

  • Updates program brochures, flyers and other outreach materials as needed

  • Assists with updating programs’ information in the VUSM Catalog annually and communicates interim edits

  • Creates surveys and evaluations in Redcap

Profile of an Ideal Candidate

  • A Bachelor’s degree from an accredited institution of higher education, or equivalent combination of education and experience is preferred

  • Meticulous proofing and experience in program administration and coordination is highly preferred

  • Ability to work in a fast-paced environment is preferred

  • Commitment to continuous program improvement is preferred

  • Established computer skills

  • Self-motivation and the possession of strong interpersonal and communication skills (both written and spoken) are necessary

  • Enthusiasm for working in a collaborative environment with faculty, staff, and students is highly preferred

  • Ability to follow institutional policies at all times and actively engage in continuous quality improvement of all systems and processes is necessary
