Position Summary :
The Catering and Events Manager is part of the Vanderbilt Dining, Catering Department at Vanderbilt University and is a key individual contributor responsible for customer interaction for all catering needs (creating event sheets, menu proposal writing, invoicing/ payments and event follow-up). This position manages the overall customer event planning process, ensuring all changes are communicated accurately and timely to the Catering and Events team. Reporting directly to the Director of Catering and the Catering General Manager this position provides expert knowledge about menu planning and event set-up.
The Catering and Events Manager will work closely with internal and external customers by customer guest needs, analyzing information and creating custom proposals that exceed customer expectations. This position is thoroughly knowledgeable of the practices and procedures of catering and events, food and beverage, menu development and pricing.

Key Functions andExpected Performance:
Be the frontline contact for the Catering Department: assist customers to schedule and coordinate events – utilizing exceptional written and oral communication
Createproposals, event orders for events and coordinate events – working closelywith the Director of Catering, Catering General Manager and chefs /maintain event changes and ensure event details, order sheets and calendarappointments and changes are communicated to the entire catering team
Planand schedule work priorities in accordance with program/project goals,objectives and deadlines
Createand maintain invoices, event files, billing/accounting files andprocurement card purchases
Invoicecustomers for events
Resolveproblems and answer inquiries concerning event activities
Developand engage in relationship-driven and long term business relationships
Createawareness of group dining in all internal campus dining departments,communicating information in a timely manner to facilitate efficientpurchasing, scheduling and staffing.
Workclosely with Catering Director to implement customer survey feedbackprogram.
This position does not have supervisory and reports administratively and functionally to the Director of Catering.
Bachelor’sDegree is necessary.
Bachelor’sDegree in Hotel/Restaurant Management or a related field is preferred.
Experience and Skills :
Twoyears offsite catering, restaurants, or specialty events planning experience isstrongly preferred.
Strongtime management and multi-tasking and organizational skills
Strongverbal communication skills and good business and commercial acumen
Theability to work and communicate with a diverse group of clients and colleagues
Strongleadership and motivating skills including the ability to build strongrelationships with customers and staff
Financial,budgeting and stock-taking skills
Theability to keep calm under pressure
