Vanderbilt University Budget/Accounting Analyst, Pod 2, Basic Sciences in Nashville, Tennessee

The Budget/Accounting Analyst and Financial Unit Manager (FUM) will serve primarily to review/approve spending and reimbursement against various funding sources within Basic Science Research Administrative POD2. In addition, will serve as a main point of contact for faculty who need assistance in filing administrative reports to central administration, booking travel for external recruits/guest speakers, and backup procurer. This position is hybrid and requires a minimum of two days per week on campus.

Basic Science Research Administrative POD2 is a group of professionals who provide administrative support to the following departments and centers: Biochemistry Department, Cell & Developmental Biology Department, Center for Stem Cell Biology, Center for Structural Biology, Mass Spectrometry Research Center, and Vanderbilt Institute of Chemical Biology. POD2 is comprised of two teams, each with expertise focused in one of the following areas: sponsored research and finance.

Duties and Responsibilities:

  • Develop long-range projections to model the financial impact of proposed programs and projects. Using a broad range of knowledge including economic and financial information; roles and goals of Vanderbilt departments; GAAP principles, regulations, and University policies and procedures. (55%)

  • Analyze, accumulate, and review data for financial reports. Conduct literature searches and prepare synopses on relevant topics for administration (10%)

  • Prepare detailed invoice back-up for Sponsored Projects using generally accepted accounting principles by maintaining regular communication with intra-departmental administrative teams to promote consistency in accounting practices. (10%)

  • Prepare, monitor, and approve invoice payments for subcontracts using a broad knowledge of Vanderbilt systems, accounting practices, and organizational business units using creative problem-solving skills. (5%)

  • Work as the Financial Unit Manager (FUM) for a department in Pod-2. Review/approve all requisitions, expense reports, and spending against specific funding sources.

  • Field, assign as needed, and work with faculty to prepare expense reports, making sure to comply with all business and travel policies and regulations. Be an additional point of contact for One Cards, help with expense reports, and send out reminders to faculty. Monitor reports for Central Administration and take appropriate action.

  • Expense delegate for several faculty members to assist in the preparation of travel reimbursement.

  • Serve as backup Procurement Requester for faculty members in various labs as needed; place orders for equipment, lab supplies, and other items as needed to sustain research functions.

  • Other duties as assigned.

Qualifications

  • A Bachelor’s Degree is preferred.

  • Three years of experience in the field are necessary.

  • Excellent Microsoft Suite skills with advanced skills in Excel are necessary.
