Description

Vanderbilt University’s Human Resources Department is seeking a Benefit Data Analyst to serve as a Systems/Technology subject matter expert regarding employee benefit offerings (group health, dental, vision, short-term and long-term disability, life insurance, flexible spending accounts, 403(b), COBRA, PTO, etc.) Responsible for oversight of benefit files and reports in collaboration with HRIS and IT team members to ensure accuracy of benefit data and delivered benefits.

Our ideal candidate will have a passion for troubleshooting processes with an eye to continuous improvement. They will be familiar with Oracle (or a similar HMS), as well as have knowledge of file requirements in working with outside benefit administrators. A solid working knowledge of benefit plans and compliance and security requirements is necessary to success.

Duties and Responsibilities

HRIS:

  • Creates new or modifiesexisting files and reports and coordinates with HRIS and IT to confirm theaccuracy of additions and changes to benefit files and reporting

  • Oversees maintenance ofbenefits systems, by designing, testing, and auditing new plans in system

  • Maintains and updates systemconfiguration, troubleshoots benefits administration processes, and testscorrective action to ensure proper configuration

  • Develop test plans forinterface file changes and coordinates with outside vendors regarding anychanges and issues

  • Partners with HRIS and Payrollto provide data and system support within the HRIS system to validate theaccuracy and consistency of benefit information

  • Manages and enhances existingclaims data warehouse using SQL Server, which includes monitoring data feedupdates from vendors and internal systems

  • Reviews, analyzes, implements,and troubleshoots layout changes, new data files and tables, and new databasesetups and modifications

Audit:

  • Develops and implements auditprocesses for analysis of data input. Audits include enrollment, eligibility,and plan reconciliations to ensure compliance with all benefit plans. Performsfull data audits to identify discrepancies and communicates clear direction onhow to resolve them for decision makers

  • Audits all benefit vendorinvoices, resolves discrepancies and submits to vendor for review

Analytics, Metrics & Reporting:

  • Assists in development,maintenance, and revision of a variety of reports using appropriate reporting.Provide claims, enrollment, deductions, plan participation data, and otheranalytics to Leadership on an ad hoc basis.

  • Conducts scheduled reportingon benefit plans including, but not limited to, cost, demographics, andutilization, to facilitate planning and decision-making in regards to benefit programs,plan design, and ensure compliance with state and federal regulations.

Compliance:

  • Collaborates in filing variouscompliance reports including, but not limited to Department of Labor 5500reporting, Summary Annual Reports (SAR), Affordable Care Act 1095 reporting,non-discrimination testing, etc.

  • Coordinates with vendors fordata collection and analysis related to plan audits and compliance filings

  • Develops and oversees ACA IRSreports and tools for monitoring the administration of health plan enrollmentsto ensure compliance

  • Participates in the review andupdate of Summary of Benefits and Coverage (SBC), Summary Plan Descriptions(SPD), as well as internal benefits communications materials

Administration:

  • Researches and resolves HRISbenefit problems, recommends solutions to meet requirements

  • Participates in openenrollment planning and execution

  • Develops and maintainsprocedures, processes and workflow diagrams and identifies potential areas forimprovement

  • Participates in surveys byproviding data relative to benefits costs and design

  • Identify, recommend, andimplement, as directed, improvements to existing processes and procedures

Profile of an Ideal Candidate

  • A Bachelor’s degree from anaccredited institution of higher education is necessary.

  • At least three years ofexperience is necessary.

  • Experience working withdatabase programs (i.e. employee benefit tracking programs, payroll and/or HRISprograms), system coding, troubleshooting, and resolving system issues isnecessary.

  • Strong analytical andtechnical skills, including the ability to review and interpret data, makerecommendations and present fact-based information for decision-making isnecessary.

  • Advanced level proficiencywith MS Office Excel, Access and PowerPoint to include the ability to createpivot tables, write conditional formulae and create charts / graphs tosummarize data findings is necessary.

  • Strong attention to detail andthe ability to work with large amounts of data and identify even the smallestof discrepancies is necessary.

  • Experience in the use of HCMsystems, and specifically Oracle Cloud HCM system is preferred.

  • Aptitude to work infast-paced, multi-tasking environment and manage sensitive, confidential issuesis preferred.

  • A team player with ability tobuild strong relationships with the Benefits team, benefits vendors, other HRstaff and other business partners on and off campus is preferred.

  • Strong verbal and writtencommunication skills are preferred.
