Administrative Assistant II - Digital Learning (VIDL) (Job Number: 1801689)
The Administrative Assistant for the Vanderbilt Institute for Digital Learning (VIDL) will perform administrative duties of a complex and confidential nature in support of VIDL, and provide direct administrative assistance to the Associate Provost for Education Development and Technologies. The AA will be a point person through which contact is made with the Institute through phone, email, and other means; and vice versa. The AA will be supervised by the Acting Director of VIDL, but will support all Institute members.
About the Work Unit:
The Vanderbilt Institute for Digital Learning promotes effective use of educational technologies in teaching and research, explores emerging trends in the digital learning landscape, and enhances digital learning by supporting scholarship, and collaborating with other centers on campus. The dynamic team at VIDL provides expertise, and grants for innovation with digital technology, instructional design for online classes, project management and video production, and research into the effective use of educational technologies.
Duties and responsibilities
The AA will perform complex duties, to include
scheduling of meetings, presentations, and other events;
maintaining VIDL’s master calendar of events, project benchmarks and deadlines, and individual staff calendars;
tracking and maintaining VIDL staff hours for the Core Ordering & Reporting Enterprise System (CORES);
serving as CORES department administrator for the Institute;
managing student hiring and payroll processes;
ordering supplies and equipment, and maintaining office inventory;
formatting and proof reading documents of several types, notably text, presentations, website materials, and spreadsheets;
processing travel plans and other official duties by VIDL staff;
monitoring and managing VIDL’s budget;
tracking and processing faculty payments and center revenue;
proposal processing for internal and external grants; and
Profile of an Ideal Candidate
Excellent interpersonal skills, able to interact fluidly with the many different individuals and organizations that will contact and work with the Institute.
Experience navigating University policies and procedures, and will want to expand and deepen their knowledge and experience.
Well versed in basic office software tools (e.g., Microsoft Excel, Word, PowerPoint), and other software tools for communication, analysis and office operations.
Be flexible in their job expectations in an office that is on the cutting edge of educational technology.
