Position Summary

The division of the Office of the Dean of Students has three Administrative Assistant II positions in the Central Office, Greek Life, and the Office of the Chaplain and Religious Life. The Administrative Assistant II performs administrative and budget related duties of a complex and confidential nature in support of departmental, division or other organization unit activities, which requires a thorough knowledge of University policies and procedures. May perform complex administrative duties.

About the Work Unit

Vanderbilt Chancellor Nick Zeppos and Dean of Students Mark Bandas have identified diversity, equity, inclusion, and mental health as top priorities for the institution and by extension the offices of the Dean of Students.

Duties and Responsibilities

The AA-II will perform complex duties, to include:

  • Provide administrative support for the department and staffmembers

  • Answer phone and respond to inquiries from students,parents, vendors, faculty, and staff

  • Manage calendars and meeting scheduling for departmentmanagers

  • Maintain inbox communications for department and ensuretimely responses to questions

  • Assist student organizations with Mastercard check-out

  • Process all accounting and purchasing forms for thedepartment and student organizations

  • Provide assistance with requisitions and promotional itemordering

  • Arrange student organization travel, events, and guestspeakers

  • Other duties as assigned

Profile of an Ideal Candidate

  • A High School Diploma or GED is necessary.

  • A Bachelor’s degree in an appropriate area ofspecialization from an accredited institution of higher education is preferred.

  • At least 2 years of relevant professional experience isnecessary.

  • Excellent verbal and written communication skills arenecessary.

  • Meticulous attention to detail is necessary.

  • Professional attitude and considerable tact, persuasion andjudgment in interactions with internal and external constituents is necessary.

  • Demonstrated ability to work in a team setting isnecessary.

  • Willingness to rapidly learn new skills when the situationdemands it is necessary.

  • Ability to take initiative, multi-task and work well underpressure is necessary.

  • Ability to work independently and for multiple constituentsis necessary.

  • Thorough working knowledge of Microsoft Office suite ofproducts is necessary.

  • Demonstrated advanced working knowledge of Microsoft Excelis preferred.

  • Ability to quickly learn office technology and databases ispreferred.
